Bookkeeper & Payroll Manager (Multi-Entity Operations)
Location: Bracey, VA
Salary Range: $75,000 – $80,000 annually
Job Summary
The Bookkeeper & Payroll Manager (Multi-Entity Operations) is responsible for full-cycle bookkeeping, payroll processing, and tax compliance across multiple business entities including facilities operations, real estate, self-storage, and restaurant concepts. This role ensures accurate financial records, timely reporting, and regulatory compliance while managing daily transactions, reconciliations, and entity-specific financial requirements across both QuickBooks Desktop and QuickBooks Online platforms.

Key Responsibilities
Entity Accounting & Bookkeeping
- Manage full-cycle bookkeeping for multiple entities using QuickBooks Desktop and QuickBooks Online
- Record, review, and reconcile daily financial transactions across all businesses
- Perform monthly bank and credit card reconciliations
- Maintain clean, accurate, and audit-ready financial records
- Prepare monthly and periodic financial statements and management reports
Payroll & Tax Compliance
- Process multi-entity payroll accurately and on schedule
- Prepare and file payroll tax returns and related compliance filings
- Prepare and submit sales tax returns for applicable entities
- Ensure compliance with federal, state, and local tax requirements
- Manage annual permits, licenses, and compliance filings
Accounts Receivable & Payable
- Oversee accounts receivable and accounts payable for all entities
- Ensure timely invoicing, collections, vendor payments, and expense tracking
- Maintain proper documentation and approval workflows
Restaurant & Inventory Accounting
- Import and reconcile daily restaurant sales receipts
- Track and manage food, beverage, and operational inventory
- Support cost control and inventory reporting initiatives
Facilities, Real Estate & Storage Operations
- Prepare monthly facility inventory and operational reports
- Manage AR/AP and reconciliations for real estate and storage entities
- Support entity-specific reporting and compliance requirements
Year-End & Accountant Support
- Support month-end and year-end close processes
- Prepare and provide documentation to external accountants, CPAs, and tax professionals
- Assist with audits, reviews, and financial inquiries as needed
General Duties
- Maintain accurate, organized, and confidential financial records
- Identify opportunities for process improvements and efficiencies
- Serve as a trusted financial partner to ownership and leadership
- Handle sensitive financial information with professionalism and discretion
Qualifications
- Minimum of 5 years of experience in full-cycle bookkeeping and payroll
- Experience managing multiple entities simultaneously
- Strong proficiency in QuickBooks Desktop and QuickBooks Online
- Solid understanding of payroll taxes, sales tax, and regulatory compliance
- Experience in restaurant, facilities, real estate, or multi-unit operations preferred
- Highly organized, detail-oriented, and self-directed
- Ability to manage competing priorities and deadlines
